Using the Task Modal

This guide explains the available views, settings, and collaboration features inside the task modal.

Once a task is created, you can click on it to open the task modal, where you can manage its details, settings, communication, and related files.

Task Modal Views

In the top-left corner of the task modal, you can find the Change View button.

This allows you to switch between different task modal layouts:

  • Modal - Opens the task details in a centered modal window on top of the board. You can close it using the X button or by clicking outside the modal.

  • Side Panel - Opens the task details in a side panel on the side of the board. You can close it using the X button or by clicking outside the panel.

  • Full Page - Opens the task in a full-page view.

For both the Modal and Full Page views, you can also enable Split View.

Split View divides the task modal into two sections and moves the Messages section to the right side for easier side-by-side task management.

You can disable Split View either from the Change View menu or by clicking the double-arrow button in the top-right corner of the task modal.

Note

The selected task view applies across all boards in the workspace, including both existing and newly created boards.


Task Quick Actions

At the top of the task modal, several quick actions are available:

  • Changing the Task Title

    You can rename the task by clicking directly on its title. Press Enter or click outside the field to save the changes.

  • Add Cover
    To the right of the task title, you’ll find the Cover button, which allows you to add a cover image to the task. The cover will also be visible in the board’s Kanban view.

    When opening the cover window, you can first choose the cover size and then:

    • Upload your own image

    • Add an image from a URL

    • Paste an image directly from the clipboard using Ctrl/Cmd + V

    • Choose an image from Unsplash

  • Turn on Notifications

    Next to the Cover button, you’ll find the bell icon. Clicking it adds you to the task followers list, allowing you to receive notifications about updates and activity related to the task.

  • Copy Link

    The link icon allows you to copy a direct link to the specific task.

  • Task Path and Creation Date

    Below the task title and quick action buttons, you’ll find the clickable task path showing the folder and board where the task is located.

    The task creation date is also displayed there. Hovering over it will show the exact creation time.

  • Additional Task Action Buttons
    Below the task path, you’ll find four additional quick action buttons:

    • Complete - Marks the task as completed and moves it to the board’s Done list

    • Attachment - Upload files directly to the task from your computer, Dropbox, or Google Drive

    • Subtasks - Create a new subtasks list, which will appear in the subtasks section below and can later contain individual subtasks

    • Repeat - Open the recurring task settings window, where you can configure the task’s repetition schedule and details

Task Settings

In the top-right corner of the task modal, you’ll find the Settings button, the Close button, and the avatars of the users following the task (if there are any followers).

Clicking the Settings button opens the task settings window, where you’ll find additional task options:

  • Duplicate - Creates a duplicate of the task directly below it in the same list

  • Duplicate to Board - Duplicate the task to another board using the board selection window and search bar

  • Move to Board - Move the task to another board, then choose the destination list and the position of the task within that list.
    If the selected board is missing labels, custom fields, or task members used in the task, they will be automatically added to that board during the move process.

  • Manage Followers - Open the followers management window, where you can see who follows the task, search for users, add followers, or remove them.
    Followers receive notifications about task updates and activity. Users do not need to be assigned to the task to follow it, but they must already have access to the board.

  • Copy Link - Copy a direct link to the task

  • Archive - Move the task to the board archive, accessible from the board settings (gear icon) → View Archive

  • Remove - Permanently delete the task. Deleted tasks are not moved to Trash and cannot be restored.

Managing Followers

If the task already has followers, you can also click directly on one of their avatars in the top-right corner of the task modal.

This opens the same followers management window, where you can view, search, add, or remove followers.


Managing Task Fields

By default, tasks in a new board include four system fields:

  • Members - Assign team members who are already part of the board to the task. These are the people responsible for completing the task.

  • List - Change the list the task belongs to.

  • Labels - Add labels to the task.
    From the + button inside the label selection window, you can create a completely new label.
    If you want to edit one of the predefined color labels, hover over it and click the pencil icon to add text or change its color.

  • Due Date - Set a deadline for the task and configure reminders for task members and followers.
    Reminders are only sent if notifications for due dates are enabled in the user’s notification settings.

In addition to the system fields, you can add more fields using the + Add a field button displayed below them.

To assign a value to a field, click the row next to it. This opens the corresponding selection window depending on the field type.


Using the Description Field

You can use the Description field to add additional context, instructions, or notes to a task.

Click the Add Description button to open the text editor.

In addition to text, you can also add images from your computer and GIFs from GIPHY’s library. Use the buttons next to the Save button to insert them.

From the three-dot menu, you can open the More options menu, where you can insert:

  • Image (from your computer)

  • GIF (from GIPHY’s library)

  • Emoji

  • Quote

  • Code snippet (This only formats the code visually - it does not execute it.)

  • Bullet list

  • Numbered list

  • Heading

  • Horizontal rule

To save your changes, click Save.


Subtasks

If you want to break down the work inside a task into smaller steps, you can use subtasks.

Each subtask can be completed separately. At the top of the subtask list, you’ll also see a progress bar that updates as subtasks are completed.

As mentioned earlier, you can also create separate subtask lists for better organization and grouping of work, then add the relevant subtasks to each list.


Messages, Files, and Log Tabs

Below the subtasks section, you’ll find the Messages, Files, and Log tabs.

Messages

The Messages tab displays all messages added to the task.

When hovering over a message, you’ll see quick actions for:

  • adding reactions or emojis

  • opening the three-dot menu with additional options:

    • Edit message

    • Copy link

    • Add reaction

    • Add star

    • Mark unread

    • Remove

Files

The Files tab displays all files shared inside the task in one place.

Files can be sorted by:

  • name

  • kind

  • created date

When hovering over a file, you’ll see:

  • a quick download button

  • the three-dot menu with additional options:

    • Rename

    • Add comment (opens the file preview modal where you can leave comments on the file)

    • Go to message (returns you to the message where the file was originally shared)

    • Remove

Clicking a file opens the regular file preview modal, where you can collaborate using comments and approvals and access the file’s additional settings.

Log

The Log tab is the task activity log. It shows activity such as:

  • when the task was created and by whom

  • task renaming

  • adding or removing members

  • list changes

  • due date changes

  • task completion

  • reopening completed tasks

Hovering over the event date displays the exact time the action happened.


Sending Messages in Tasks

To send a message inside a task, click the message field at the bottom of the task.

At the top of the editor, you’ll be able to choose between:

  • Message - visible to everyone with access to the tasк

  • Note - visible only internally to your team

At the bottom of the editor, you’ll find buttons for:

  • uploading attachments from your computer, Dropbox, or Google Drive

  • inserting images directly from your computer

  • adding GIFs from GIPHY’s library

  • opening the three-dot More options menu

  • recording voice messages

  • inserting Saved Replies

The Saved Replies button allows you to:

  • select an existing saved reply

  • filter replies by author (Mine or All)

  • click the gear icon inside the Saved Replies window to create or manage saved replies from your profile settings

The More options menu contains the same formatting and insert options available in the Description field:

  • Image

  • GIF

  • Emoji

  • Quote

  • Code snippet

  • Bullet list

  • Numbered list

  • Heading

  • Horizontal rule

Note

Inside task messages and comments, you can also @mention people who are part of the board to notify them more easily.

Mentioned users will receive notifications if mentions are enabled in their notification settings and will automatically become followers of the task.
