Subtasks help you break down larger tasks into smaller, manageable actions. They allow you to organize work in more detail while keeping everything connected to the main task.
You can create multiple subtask lists inside a task, assign members, set due dates, add reminders, and even convert subtasks into full tasks when needed.
Let’s take a closer look at each of these features.
Creating Subtasks
To create a subtask:
Open a task
Go to the Subtasks section
Click Add subtask
Enter the title
Click Save
The new subtask will be added to the bottom of the subtask list.
Managing Subtasks
Each subtask has an Edit option for quickly changing the title, and a three-dot menu for additional actions. From there, you can:
Add members
Set due dates
Add reminders
Convert the subtask into a regular task
Remove the subtask
Subtask Members
You can assign one or more members directly to a subtask.
To do this:
Open the subtask
Click the three-dot menu
Select Members
Once a member is added to a subtask, they automatically become a follower of the main task. This ensures they receive notifications about updates in the parent task as well, keeping everything connected.
Subtask Dates
You can set a due date for any subtask, which allows you to track deadlines for individual steps within a task.
To do this:
Open the subtask three-dot menu
Select Dates
To set a due date, choose a date from the calendar widget
If a due date already exists, simply click the date to change it.
If you want to remove it, use the reset option in the calendar to clear the date completely.
Subtask Reminders
Besides setting deadlines for the subtasks, you can also add reminders for task members and followers.
Open the subtask three-dot menu
Choose Dates
Select Reminder
You can choose to be notified:
On the day of the due date
1 or 2 days before
1 week before
Reminders are only sent if notifications for task due dates are enabled in the user’s notification settings.
Converting a Subtask to a Task
You can update any subtask into a full task. This is useful when a subtask becomes more important or needs to be managed independently.
In the subtask three-dot menu, select Convert to Task.
If the subtask is open, it will move to the top of the Open list
If it is completed, it will appear in the Done list
Filtering Subtasks
If a task contains many subtasks, you can filter them for better focus.
Hover over the Subtasks section title and use the filter icon to choose between:
Open subtasks
Completed subtasks
When no filter is applied:
A progress bar shows the percentage of completed subtasks
Completed subtasks are automatically listed below open ones
Subtask List Management
Inside a task, you can create multiple subtask lists for better structure.
By default, one subtask section is available.
At the top of the subtask list, you’ll see a progress bar that updates as subtasks are completed.
Creating Subtask Lists
To create a subtask list:
Open a task in a board
Click on the Subtasks button below the task title
Choose a name for your new subtask list
Click Save
The new Subtask List will be added at the bottom of the subtasks section.
Subtask lists can be reordered by dragging and dropping them into a new position.
