Viewing One-time Invoices and Additional Settings

Learn how to view invoice details, manage invoice statuses, review payment information, and access additional invoice settings.

One-time invoices allow you to bill clients for products or services and track their payment status. Once an invoice has been created, you can review its details, share it with clients, manage payment settings, update its status, and access additional management options.

Viewing a One-time Invoice

Open any invoice to view its details and available actions.

An invoice is divided into four sections:

  • Preview – displays the invoice and available actions

  • Client – shows information about the client associated with the invoice

  • Summary – displays invoice details and metadata

  • Items – shows all invoice line items and totals

Preview

The Preview tab displays the client-facing version of the invoice along with its current status.

At the top of the page, you will see:

  • Invoice number

  • Current status

  • Due date

  • Total amount

Depending on the invoice status, the following actions may be available:

  • Send – send the invoice to a conversation

  • Edit – modify the invoice details

  • Update Status – manually change the invoice status

  • Finalize – clients will be able to pay this invoice once you finalize it

  • Copy Payment Link – copy the public payment page link

  • Download – download the invoice as a PDF

  • Print – print the invoice

Invoice Statuses

When selecting Update Status, you can choose from the following statuses:

  • Open: The invoice is finalized and ready for payment.

  • Paid: Payment was received outside of Kitchen.

  • Uncollectible: Payment is no longer expected, although it may still be received in the future.

  • Void: The invoice was finalized by mistake or contains an error and should no longer be considered valid.


Client

The Client tab displays information about the client associated with the invoice.

Click on their name to visit their profile's page.

Summary

The Summary tab provides an overview of the invoice details, including:

  • Client email

  • Date created

  • Date finalized

  • Due date

  • Issue date

  • Memo

  • Currency

  • Enabled payment methods

  • Payment page link

  • Language

  • Reminder settings

  • Author

  • Invoice ID

The Payment Page and Invoice ID can be copied directly from this section by clicking the Copy button.


Items

The Items tab displays all invoice line items, including:

  • Item description

  • Quantity

  • Unit price

  • Amount

Below the item list, you'll find:

  • Subtotal

  • Total

  • Amount due


Invoice Settings

The Settings button in the top-right corner of the invoice provides additional management options.

From here, you can:

Note: Most invoice management actions are also available from the three-dot menu of the invoice in the sidebar, allowing you to edit, move, duplicate, download, copy link, share, archive, or delete the invoice without opening it first.


Viewing All Invoices

You can view all invoices in your workspace by navigating to Browse → Invoices in the sidebar.

In this section you will find both one-time and recurring invoices.

From here, you can quickly review key information, including:

  • Invoice name

  • Amount

  • Status

  • Client

  • Author

  • Due Date

  • Next recurring invoice issue date

You can also use the available search and filtering and sorting options to find specific invoices more easily.

Click any invoice in the list to open it and view its full details.
