Sharing Invoices and Receiving Payments

Learn how to share invoices with your clients and receive payments for them.

Once an invoice has been finalized, it can be shared with clients and paid.

You can choose to send an invoice by email or share it directly within Kitchen.

When sharing an invoice in Kitchen, you can send a message in a conversation shared with the client to notify them that a new invoice is available and ready for payment.

You can also share the invoice itself as a resource from the folder where it is located, allowing clients to access it directly while logged into Kitchen.

Let's look at the available sharing options and how invoice payments work.


Sending Invoices

One way to send an invoice is immediately after completing its setup.

Once you confirm the invoice finalization, the Finalize button changes to Send. The same option is also available from the three-dot menu next to it.

Clicking Send opens the invoice delivery window.

• Sending an Invoice via Email

The Email tab is selected by default.

From here, you can:

  • update the recipient email address

  • add multiple email addresses separated by commas

  • edit the email subject line

  • customize the email message

The invoice PDF is automatically attached to the email.

• Sending an Invoice Through a Conversation

In addition to email delivery, invoice notifications can also be sent through a conversation.

To do this:

  1. Click the Conversation tab next to the Email tab at the top of the window.

  2. Select the conversation where the invoice message should be sent.

  3. Optionally edit the message that will accompany the invoice.

Note

The client must be a participant in the selected conversation to see the message.

All participants in the selected conversation will gain access to the invoice.

After the invoice is sent, clients receive the configured message along with a link to the invoice checkout page.

Depending on the payment methods configured for the invoice, clients can pay by credit card, pay via PayPal, or view bank transfer instructions and banking details.

Important

The invoice checkout link is publicly accessible.

The checkout page also includes a Download PDF button, allowing clients to download the invoice as a PDF.

• Sending an Invoice Later

Invoices can also be sent after they have been finalized.

To do this, open the invoice from either the folder where it is located or from the sidebar and click Send.

This opens the same delivery window described above, where you can choose whether to send the invoice by email or through a conversation, as well as configure recipient emails, messages, and the other settings.


Sharing Invoices in Kitchen

For clients to access an invoice directly as a resource in Kitchen, the invoice must be shared with them.

Like all resources in Kitchen, invoices have a General Access setting that can be configured as:

  • Private

  • Shared with Clients

  • Internal

This setting can be changed at any time.

If an invoice is created using the Create button inside a client folder, or the + button that appears when hovering over that folder in the sidebar, and the folder is already shared with the client, the invoice is automatically shared as well.

This is because invoices:

  • are created with the Shared with Clients access level by default

  • inherit the users who already have access to the parent folder when created inside shared client folders

However, if the invoice is created:

  • in a different folder that is not shared with the client

  • directly from the sidebar's + button or the Invoice button on the Home page

then it must be shared with the client manually.

Sharing an Invoice Manually

To share an invoice:

  1. Open the invoice.

  2. Click the Share button in the upper-right corner.

  3. In the Add members or clients field, enter the client's name or email address.

  4. Select the client from the search results.

If you'd like to send an email notification, enable the Send Notification checkbox and optionally add a custom message.

Click Save or Send Invite, depending on whether a notification is being sent.

The same Share menu can also be accessed by hovering over the invoice in the sidebar, clicking the three-dot menu, and selecting Share.

Receiving Payments

To receive payments through invoices, you first need to configure your available payment methods under Settings → Payments.

Kitchen supports multiple credit card payment processors, as well as PayPal and Stripe ACH via Plaid.

You can also add your banking details so clients can pay invoices manually via bank transfer.

If a client pays through the Kitchen checkout page using one of the credit card gateways or PayPal, Kitchen automatically captures the payment and updates the invoice status to Paid.

For bank transfer payments, you'll need to manually update the invoice status to Paid after receiving the payment.
