You can share each resource with specific clients, team members or companies, and control what they can do by assigning them roles.
Before sharing, make sure the resource’s General Access setting is configured appropriately (for example, Shared with Clients when inviting clients).
For more details, see Access Levels and Resource Permissions in Kitchen.
Granting Access to Individual Users
To give access to an individual user:
Open the resource.
Click the Share button (top right corner of the resource).
In the “Add members or clients” field at the top of the modal window, enter the user's name or email.
Select the user from the search results.
After selection, you can:
Assign them a role for the resource
Add additional users (if needed)
If an email notification should be sent, enable the Send notification option by selecting the checkbox, and include a custom message if desired.
Select Save or Send Invite, depending on whether a notification is being sent.
Access can always be reviewed by checking the avatars next to the Share button or reopening the Share window.
Alternatively, you can share the resource by hovering over it in the sidebar, clicking the three-dot menu (More Options), and selecting Share.
This opens the same share modal window described above.
Important
Adding a client or team member to a folder automatically grants access to all child resources inside it that are set to the same access level.
Each new resource created inside the folder will also be automatically shared with them if it uses the same access setting.
Granting Access to Companies
In addition to individual clients and team members, you can also share resources with entire companies.
To do this:
Open the resource.
Click the Share button.
In the Add members or clients field, start typing the company name.
Select the company from the search results.
Companies are displayed with a Company label, along with the number of clients currently assigned to that company.
After selecting a company:
Choose the permission level you want to grant.
Optinally, enable the Send notification option by selecting the checkbox, and include a custom message that will be sent to all company clients.
Click Save.
The resource will automatically be shared with all clients currently assigned to that company.
How Company Access Works
Company access updates automatically as company membership changes.
Adding a client to the company automatically gives them access to resources shared with that company.
Removing a client from the company automatically removes their access to those resources.
If a client is shared individually and also receives access through a company, the client's direct permission will take precedence over the company permission.
For example, if a company has Viewer access to a resource, but a specific client is added separately as an Editor, that client will receive Editor access.
Changing the Role of a User or Company in a Resource
To update a user’s role:
Click the Share button.
Select the current role displayed next to the user or company.
Choose a new role from the dropdown menu.
Resending a Resource Invitation
To resend an invitation for a specific resource:
Click the Share button.
Select the current role assigned to the user or company.
Choose Resend Invitation.
In the next window, you'll also be able to add a custom message.
After clicking Send, we will send an email with a secure magic login link to the invited user or company members, allowing them to log in without a password.
Removing User or Company Access from a Resource
To remove a user or a company from a resource:
Click the Share button or the user's avatar in the top right corner.
Select the user’s current role.
Choose Remove Access.
Important
If performed from a folder, the user or company will be removed from the folder and all applicable child resources within it.
