Managing All Invoices in Your Workspace

A quick guide on how to navigate the Invoices section, search, filter, and manage your invoices in Kitchen.

All invoices created in your workspace can be found in the Invoices tab in the left-hand navigation.

Once open, you'll see an overview with all invoice stats at the top (right under the tab's name). Clicking on each status number will apply the relevant filtering for the list, showing only the open, paid, overdue, draft, void, or recurring invoices.

To clear the filter, click the selected filter next to the search field, then click the reset arrow button.

Searching and Filtering Invoices

You can use the search field to look for a specific invoice. Start typing your search term and press Enter to apply the search.

To clear the search, click the X in the search field.

Additionally, you can filter invoices by:

  • Type: One-time or recurring

  • Amount: Find invoices based on their total amount. Apply one of the comparison rules (equal, greater than, less than, greater than or equal to, or less than or equal to) and the amount you want to use, then click Apply.

  • Status: For one-time invoices, you can use six different status filters: Open, Paid, Overdue, Uncollectible, Void, and Draft. For recurring invoices, the Active, Paused, and Draft filters are available.

  • Client: Use the search bar to find a specific client or choose one from the client list below.

  • Author: Use the search bar to filter by a specific author or choose one from the list of members below.

  • Due: Use one of the available Due Date filters: From the Last 7 days, 4 weeks, 3 months, or 12 months. You can also choose a Custom Date or date range from the date picker or enter one manually.

Click on any invoice in the list to open it and view its full details.


Creating Invoices

In the Invoices tab, you can create a new invoice as well via the "Create Invoice" button, where you'll see the available options for a one-time invoice and a recurring invoice.

Uploading Invoices

You can also upload external invoices in PDF format to your Kitchen workspace.

Here’s how:

  1. Click Upload Invoice and choose a file from your computer via the Browse button.

  2. Once uploaded, you can adjust the invoice’s number, which automatically takes the PDF’s name, and also enter the invoice’s Grand Total. The total amount should include all the taxes.

  3. After clicking Import, the invoice will open, from where you can assign it to a client, change the Grand Total, change the Invoice file by uploading another PDF, and choose the payment’s due date and payment methods.

    Additionally, you can adjust the date of issue, reminders, and currency for the invoice.

  4. You can also use the three-dot menu next to the Finalize button to access the same options that are available there when creating a regular invoice.

The uploaded invoice will appear on top of your items in the sidebar and will be added to the list of all invoices.


The Invoices List

The list displays all the invoices in the workspace, along with key information about each one, divided into the following columns:

  • Invoice: The invoice name or number.

  • Amount: The total invoice amount.

  • Status: The current status of the invoice.

  • Client: The client associated with the invoice.

  • Author: The team member who created the invoice.

  • Due: The date when the invoice is due.

Changing the Layout

On the right end of the column headers, you’ll find the button for switching between Grid and List view.


Changing the Sorting

You can adjust the list’s sorting to suit your needs by clicking the column headers above the list of invoices.

The first click sorts in ascending order, the second switches to descending order, and the third click removes the sorting.

At the bottom of the invoice list, you’ll see the total number of invoices currently displayed, for example, "1-20 of 50."

This shows which invoices you’re viewing and how many invoices are available in total.

If there are more invoices than fit on one page, the controls there can also be used to move between pages.


Bulk Actions

Hover over the invoices list column headers to reveal the checkbox on the left that lets you select all displayed invoices.

Once selected, the search and filter options are replaced with bulk action options:

  • Move

  • Archive

  • Move to Trash

  • X selected - shows the number of selected invoices

By clicking this checkbox, all displayed invoices will be selected. You can deselect individual invoices, and the selected count will update automatically.


Selecting Individual Invoices

You can also select invoices individually. Hover over one of them to reveal the checkbox on the left. Once selected, the same actions for moving, archiving, and moving to the trash will appear at the top.

Additionally, when you hover over an individual invoice, a More options (three-dot) button appears on the right.

It allows you to:

  • Edit

  • Move

  • Download

  • Copy Link

  • Share

  • Archive

  • Move to Trash

All this makes it easy to quickly locate and manage the invoices you need.
