Communicating via Conversations

This guide explains the features available when communicating with clients and team members using Conversations.

Once a conversation is created, you can send messages and notes, share files, and collaborate with clients and team members.

Below, you’ll find an overview of the available options.


Sending and Scheduling Messages

To send a message, click in the message field, type your text, and click Send.

You can also schedule messages by clicking the arrow icon next to the Send button and choosing when the message should be delivered.


Sending Notes

At the top of the message field, you can switch to Notes.

Notes are only visible to team members and are not shown to clients.

This allows you to have internal discussions within a conversation without interrupting client communication.


Using Mentions

To simplify communication, you can notify a specific user by typing @ in the message field and selecting their name from the list.

The list narrows down as you start typing.

Note

You can only @mention users who are added to the conversation via the Share button.

Mentioning someone triggers a notification for them, depending on the notification preferences set in their profile.


Formatting Messages

While writing a message, you can highlight text and apply formatting such as bold, italic, and underline, or turn text into a hyperlink.

You can also:

  • Insert quotes or code snippets

  • Use a heading

  • Create bullet or numbered lists

These options are also available from the three-dot menu in the message field, along with the option to insert a horizontal rule.

From the same three-dot menu, you can also add emojis, images (from your computer), or GIFs. Images and GIFs can be added via their dedicated buttons as well.


Attaching Files

Use the paperclip button to attach files from your computer or upload them from external services.

Files shared in a conversation are available in the Files tab, located in the conversation header. They can also be accessed from Browse → Files.


Using the Files Tab

The "Files" tab displays all files shared in the conversation.

While there, you can:

  • Filter files by kind, author, or date created

  • Use the search bar to find specific files

  • Download or rename files by hovering over them

  • Аlso use the Go to Message option to jump to the message where the file was shared

You can also change the layout (list, small list, grid, large grid) and the sorting preferences (by ascending or descending order by name, kind, or creation) of the "Files" tab.


File Feedback

Files shared in conversations support feedback features similar to files in folders.

When you open a file, you can:

  • Leave comments on specific areas

  • Show or hide comments

  • Adjust the zoom level

  • Control playback speed for videos and audio files

  • Approve the file

  • Download, rename, remove, or copy a link to the file

Voice Messages

Click the microphone button in the message field to record and send a voice message.

Voice messages support the same feedback features as other files.

After sending, they are also available in the Files tab and in Browse → Files.


Using Saved Replies

You can use saved replies when composing messages by clicking the clipboard button (“Insert saved reply”).

From there, you can:

  • Select an existing saved reply, which you can filter by author (Mine or All);

  • Click the gear button to open your profile settings to create or manage saved replies.
