Managing Client Profiles and Settings

This guide explains how to access and manage a client’s profile, details, and settings.

Once a client is created, you can manage their details, update contact information, configure notification preferences, and review their access to resources.

Below, you’ll find an overview of each section available in a client profile.


To access a client’s profile:

  1. Go to Clients in the navigation.

  2. Select the client’s name.

You can use the search bar and the Created filter to find the client easily if needed.

Additionally, you can adjust the layout and sorting of the client list according to your preferences.

To do this, click the button in the top right corner, Layout & Sort, and select your preferred layout (List or Small List) and sorting (by Name, Email, Date Created, or custom fields you've added to client profiles), as well as set the number of clients per page (12, 20, or 50).

To switch between ascending and descending order of sorting, click on the selected option again.

Each client profile contains four tabs: Profile, Billing Details, Notifications, and Resources.


Profile

The Profile tab allows you to:

  • Change the client's avatar by clicking on the edit button on it. This opens up an additional window, where you can:

    • Change the client’s initials

    • Change their avatar’s color

    • Upload an image from your computer, add one from a URL, or paste it directly from your clipboard using Ctrl+V

    • Enable a Gravatar for this client, which will fill out the avatar with a recognizable pattern

  • Change the client's name by clicking directly on it.

  • See an overview of the client's email address, set job title and company, local time, and date of invitation to the portal.

  • Impersonate - Opens a new tab where you can view the workspace as the client sees it.

  • Resend Invitation - Sends the workspace invitation email again, along with a secure magic login link to log in without a password. You can add a custom message if you want.

  • View Company - Opens the company's profile if added to the Companies tab in the Clients section.

  • View or update the following personal information:

    • Full Name

    • Email Address

    • Display Name (used for mentions, can be a first name or nickname)

    • Phone Number

  • View and update the client's company information:

    • Job Title (client's role or position)

    • Company (where the client works)

  • Add custom fields for storing additional information. You can create one via the button "Create Custom Field" and then set the field's:

    • Name

    • Type (Text, Number, List, Multi-List, Date, Checkbox, URL, Email, Phone)

  • Set the portal Interface Language for this client

  • Set the client's Timezone

  • Set or update their Password

  • Review login activity via the Access Locations

  • Deactivate the client, removing this client's access to your workspace, but keeping all their related data intact

  • Delete the client account, permanently deleting this client and all their data
    ​​

Important Note

Deleting a client permanently removes their account and any data or resources created by them. This action cannot be undone.


Billing Details

The Billing Details tab allows you to enter or update the client’s financial details. This information is used when generating invoices.

You can click on the "Edit Billing Details" button, where you can adjust the client's:

  • Contact information:

    • First name

    • Last name

    • Email

    • Phone

  • Business information:

    • Business name (Company or Organization)

    • TAX ID (Include prefix VAT, GST, etc.)

  • Billing address

    • Country

    • City

    • State

    • ZIP Code

    • Street address

After editing, just click Save to update the client's billing profile.


Notifications

Notification preferences can be adjusted per client to manage what the client gets notified about.

Three notification types are available:

  • Email - Sent to the client’s email address

  • Push - Appear on a client’s desktop, if they’ve allowed browser notifications

  • Inbox - Notifications shown in the client’s in-app Inbox

Resources

The Resources tab displays all resources the client has access to, organized by the following categories:

  • Folders

  • Boards

  • Conversations

  • Documents

  • Embeds

  • Invoices

  • Quotes

  • Milestones

In each category, you'll see the resources listed with their name, resource path and items included in it, and date of creation.

For Invoices and Quotes, you can also see their statuses and respective amounts, and for Milestones, you'll be able to see their start and due date.
