Sharing Milestones and Managing Milestone Settings

A quick guide explaining how to share milestones and manage them.

After creating a milestone, you can share it with clients and team members, manage who has access to it, and customize its settings at any time.

Milestone General Access Settings

Each milestone has a General Access level that determines who can access it:

  • Private - Only you and invited team members.

  • Shared with Clients - Invited team members and clients.

  • Internal - All team members can access the milestone without an explicit invitation.

You can change the General Access level at any time using the milestone's Share button.

Sharing Milestones

You can share milestones with clients and team members in several ways:

  • Click the Share button in the top-right corner.

  • Hover over the milestone in the sidebar, click the three-dot menu (More Options), and select Share.

  • Click the user avatars displayed next to the Share button in the milestone to open the same Share modal.

Important

Tasks displayed inside a milestone rely on the visibility of the board they belong to.

Sharing a milestone alone isn't enough for users to access its tasks. The board containing those tasks must also be shared with them.

This is because tasks can be opened directly from a milestone, so the source board must also be accessible for the task details to show.


Managing Milestone Settings

When viewing a milestone, you can make several changes directly from its header.

• Customize the Icon

Click the milestone icon to customize it by:

  • Choosing a different icon

  • Changing the icon color

  • Selecting either the Outlined or Filled icon style

  • Choosing an emoji

  • Uploading an image from your computer

  • Adding an image from a URL

  • Pasting an image from your clipboard using Ctrl + V

• Rename the Milestone

Click the milestone name to edit it directly. Press Enter or click anywhere outside the title to save your changes.

• Add to Favorites

Click the star icon next to the milestone name to add it to the Favorites section in the sidebar for quicker access.

• Additional Settings

For more options, click the Settings (gear) button in the top-right corner of the milestone.

From there, you can:

  • Manage Access and Users - this opens the Share modal, where you can:

    • Change the milestone's General Access level

    • Add or remove users with access

    • Invite new clients and team members

  • Edit Milestone Details - Update the milestone's:

    • Name

    • Start date

    • End date

    • Description

  • Customize the Icon - Using the same icon customization options described above.

  • Move the Milestone - Choose one of the displayed results or use the search bar.

  • Copy a link to the milestone

  • Archive the milestone

  • Delete the milestone

These same options are also available by hovering over the milestone in the sidebar and clicking the three-dot menu.

Note

Archiving a milestone moves it to Browse → Archive.

Deleting a milestone moves it to Browse → Trash.

From there, you can open the three-dot menu while hovering over the milestone and select View or Restore.

Items in the Trash are permanently deleted after 30 days.
