How to Use Documents

Learn how to work with documents in Kitchen, format your content, customize the document, and manage sharing and permissions.

Documents in Kitchen are flexible pages that let you create notes, documentation, knowledge bases, meeting notes, and more. They support rich formatting, media, tables, checklists, code blocks, and other content blocks that can be combined on a single page.

Document Header

At the top of every document you'll find several options for customizing and managing it.

Customize the Icon

Click the document icon in the top-left corner to customize it.

You can choose from:

  • Built-in icons

  • Emojis

  • Upload your own image

  • Add an image from a URL

Rename the Document

Click the document title to rename it at any time.

Favorite the Document

Click the ⭐ Star icon next to the title to add or remove the document from your favorites for quicker access.

Print the Document

Click the Print button in the top-right corner to print or save the document as a PDF.


Settings Menu

The Settings menu in the top-right corner provides additional management options.

Available options include:

  • Access & Users – Manage sharing, permissions, and General Access settings. For more information, see Access Levels and Resource permissions.

  • Edit – Change the document name and description.

  • Customize Icon – Change the document icon.

  • Duplicate - Duplicate the document in a selected folder.

  • Move – Move the document to another location.

  • Copy Link – Copy a direct link to the document.

  • Archive – Archive the document while keeping its contents.

  • Move to Trash – Move the document to the workspace Trash.


Adding Content

Documents are built from content blocks. In the document click the + Add button to insert a new block.

Available block types include:

  • Text

  • Headings

  • Bulleted lists

  • Numbered lists

  • Checklists

  • Images

  • Tables

  • Code blocks

  • Quotes

  • Warnings

  • Delimeters

Tip: Use the filter option at the top to find the desired block faster.


Block Options

Each content block includes a ⋮⋮ drag handle that lets you:

  • Reorder blocks by dragging them

  • Open the block menu

From the block menu you can:

  • For headings, change the type of heading (e.g. H1 instead of H3)

  • Convert the block to another supported type

  • Move it up

  • Move it down

  • Delete it

Images

Image blocks also provide several display options from the ⋮⋮ menu:

  • With border – Add a border around the image.

  • Stretch image – Expand the image horizontally.

  • With background – Center the image, reduce its displayed size, and place it on a colored background.

You can also add an optional caption below the image.

Quotes

Quote blocks include additional formatting options.

From the ⋮⋮ menu, you can:

  • Align the quote to the left or center.

  • Add an optional caption below the quote.

Tables

Tables can be customized using the ⋮⋮ menu in the top-left corner of the table.

Available options include:

  • With headings – Display the first row as a header.

  • Without headings – Remove the header row.

  • Stretch / Collapse – Expand or restore the table width.

You can also manage individual rows and columns:

  • Hover over the left side of a row to open the row menu, where you can:

    • Add row above

    • Add row below

    • Delete row

  • Hover over the top of a column to open the column menu, where you can:

    • Add column to the left

    • Add column to the right

    • Delete column


Formatting Text

When you select text in a document, a formatting toolbar appears below.

From there, you can:

  • Convert the selected text into a different block type, including:

    • Text / Heading

    • Unordered List

    • Ordered List

    • Checklist

    • Quote

      Note: Lists are fully interchangeable. For example, if you've created a bulleted list, you can later convert it into a numbered list, checklist, quote, or another supported block type using the Convert to option, without recreating the content.

  • Apply Bold, Italic, or Underline formatting.

  • Highlight the selected text in yellow using the Marker tool.

  • Insert a link.

Tip: To open a link inside a document while editing, hold Ctrl (Windows/Linux) or ⌘ Command (Mac) and click the link. Clicking a link without holding the modifier key will keep the document in editing mode.
