How to Create and Use Quotes

Learn how to create, send, manage quotes, and track their status.

Quotes allow you to prepare and send estimated costs to clients before work begins. You can customize pricing, collect approvals, request upfront payments, create invoices based on quotes, and track quote status from a single place.

Creating a Quote

There are several ways to create a quote in Kitchen.

From the Sidebar

  1. Hover over a folder in the sidebar

  2. Click the + button

  3. Select More

  4. Choose Quote

From Inside a Folder

  1. Open a folder

  2. Click the Create button in the top right corner

  3. Select More

  4. Choose Quote

Using the Global Create Button

  1. Click the + button at the top of the sidebar on the left

  2. Select More

  3. Choose Quote.

This creates a new quote at the top level of your workspace, outside of any folder.

Once created, the quote editor will open, allowing you to configure the quote details before sending it to the client.


Quote Details

When creating a quote, you can configure the following details:

Quote Name

The quote name appears in the sidebar and folder views as the resource name.

To edit it, click the pencil icon next to the quote name at the top of the page.

Title

The quote title is displayed to clients in the quote preview and final quote.

To edit it, click the pencil icon next to the Title field and enter the desired title.

Client

Select the client the quote will be sent to.

Start typing the client's name or email address and select them from the list.

You can also click Edit Billing Profile to update the client's billing details without leaving the quote.

From there, you can manage the client's:

  • Contact Information

  • Business Information

  • Billing Address

Any changes made here will be reflected in the quote and future billing documents for that client.

Currency

Choose the currency that will be used for all quote amounts.

Sections and Items

Quotes are organized into sections, allowing you to group related items together.

Multiple sections can be added to structure larger quotes.

Within each section, you can:

  • Add one or more items

  • Enter a title for each item

  • Specify the item price

  • Add taxes or additional charges

  • Edit or remove existing items

Use Add item to include additional line items within a section.

Turnaround Time

Enter the estimated delivery time in business days, which will be shown to the client in the quote.

Note: The estimated Delivery Date shown in the quote preview is calculated using the selected turnaround time in business days. If the quote remains unaccepted, the Delivery Date will automatically move forward each day to maintain the same turnaround period.

Options

Additional quote settings are available under the Options section.

These include:

Show Accept Button

When enabled, clients will see an Accept button directly within the quote, allowing them to approve it.

Require Upfront Payment

Enable this option if a deposit is required before work begins.

You can specify the upfront payment percentage as part of the quote setup.

Note: When a quote with an upfront payment is accepted, Kitchen automatically generates two invoices: one for the upfront payment and another for the remaining balance.

Preview

The right side of the screen displays a live preview of the quote.

As you update the quote details, sections, items, pricing, and options, the preview updates automatically to show exactly what the client will see.


Sending a Quote

Once the quote is ready, click the Send button in the top right corner.

Note: Before sending, make sure the quote contains at least one item and has a client assigned.

In the Send Quote window:

  1. Select an existing conversation from the Conversation dropdown

  2. Review and customize the message if needed.

  3. Click Send.

  4. The quote will be shared in the selected conversation and its status will be updated to Sent.

  5. A confirmation message will appear in the bottom-left corner of the screen. Click the link in the notification to open and view the conversation where the quote was shared.

Note: All members of the selected conversation will gain access to the quote.


Viewing a Quote

Open any quote to view its details and status.

A quote is divided into three sections:

  • Preview – displays the quote preview and available actions

  • Client – shows information about the client associated with the quote

  • Summary – displays quote details and metadata

Preview

The Preview section displays the client-facing version of the quote along with its current status.

At the top of the page, you will see:

  • The quote title

  • Current status (Draft, Sent, Accepted, Expired, Voided)

  • The associated client

  • The turnaround time

Depending on the quote status, additional actions may be available:

  • Resend – send the quote again to a conversation

  • Edit – modify the quote details

  • Update Status – manually update the quote status

  • Download – download the quote as a PDF

  • Print – print the quote

Client

The Client tab displays information about the client associated with the quote, including their name and email address.

Click on their name to view their profile in the Clients section.

Summary

The Summary tab provides an overview of the quote details, including:

  • Title

  • Total price

  • Turnaround time

  • Currency

  • Quote ID. You can copy the Quote ID directly from the Copy button next to it.

  • Date created

  • Date sent

  • Author


Sharing and Access Settings

In the top-right corner of the quote, you'll find the familiar Share button used throughout Kitchen.

Clicking it opens the Share modal, where you can manage both the quote's access settings and the users who can view it.

General Access

You can choose between the following access levels:

  • Private

  • Shared with Clients

  • Internal

The selected access level can be changed at any time.

Sharing the Quote

From the same window, you can:

  • Invite clients, companies, and team members

  • Change their role or permission level

  • Remove access when needed

Note: Sending a quote through a conversation automatically grants access to all members of that conversation. However, you can also share the quote separately using the Share button.


Quote Settings

Click the Settings button in the top-right corner of the quote to access additional options.

Access & Users

Manage the quote's General Access setting and the users who have access to it.

This opens the same Share modal, where you can:

  • Change the General Access level

  • Invite clients, companies, and team members

  • Update user roles and permissions

  • Remove access

Edit

Open the quote editor to update the quote details, items, pricing, turnaround time, and other settings.

Change Status

Manually update the quote status when needed.

Duplicate

Create a draft copy of the quote, including all sections, items, and settings.

Move

Move the quote to another folder in your workspace.

Download

Download the quote as a PDF file.

Copy Link

Copy a direct link to the quote.

Archive

Archive the quote to remove it from active workspace views while preserving its data.

Archived quotes can be accessed at any time from Browse → Archive.

Move to Trash

Move the quote to the workspace trash.

Quotes can be restored from the Trash until they are permanently deleted after 30 days.

Note: Most quote management actions are also available from the quote's three-dot menu in the sidebar, allowing you to edit, move, duplicate, download, copy link, share, archive, or delete quotes without opening them first.


Viewing All Quotes

You can view all quotes in your workspace by navigating to Browse → Quotes in the sidebar.

From here, you can quickly review key quote information, including:

  • Quote name

  • Status

  • Amount

  • Client

  • Author

You can also use the available filtering and sorting options to find specific quotes more easily.

Click any quote in the list to open it and view its full details.
