A guide to everything you need to know about protecting your Deliverables for a safe-free handoff

When it comes to delivering final assets, you can show clients you’re not messing around with a safe and secure closing process. The Deliverables tab serves to create a secure environment where you can upload your final files and protect them with payment. In this guide, you'll learn how to add the deliverables tab, upload deliverables, and associate them with their respective invoices for a stress-free handoff process.

The Basics of Deliverables

Deliverables are project assets produced by you for your clients; here are some examples:

  • For a design project, a deliverable would be the layered design files that your client can use with a developer

  • For a coding project, a deliverable might be the code repository with the whole history

Use-cases

There are 2 main reasons to use deliverables:

  • You'd like to protect yourself from late payments by formally asking your clients for payment before they can download project deliverables.

  • You'd like to automate your workflow and provide your clients with their digital assets immediately after they have settled their bill, without further back-and-forth communication for project downloads.

Even if those use cases do not make sense for your business, having a dedicated deliverables area is a nice addition to your projects because you'll always have a reference for the latest snapshot of work that you have provided your clients with.

Once you add deliverables, they can be accessed in the Deliverables tab, as well as in the Project Details section on the right side of the project.


Adding the Deliverables Tab

You can add the Deliverables tab at the beginning when you create your new project, or later from the tabs bar menu.

Adding the Deliverables Tab In Advance When You Create a New Project

When you create a new project from the main navigation, it will open a title screen with a few options:

  • typing a project name and a project description

  • adding an associated company

  • choosing your initial project tabs

Once you're done typing a name for the project and associating it with a company, select the Deliverables module from the list.

Click the Create Project button.

That's all.

Once you click the Create Project button it will redirect you to your new project with all the tabs you've added, all neatly arranged in a bar menu right below the project name. Your Deliverables tab will be also there.


Adding the Deliverables Tab After the Project is Created

If you need to use the Deliverables Tab and its features later in the project, you can easily add it to your tabs.

Here's how to do it.

Step 1. Go to your Tabs Navigation below the project title and click on the active Plus icon. This icon is always right after your last project tab.

Step 2. When you click on the icon, it will open the Add Tab modal window with all the available modules. The window will show you a list of tab modules you can add, as well as a list of tab modules you've already added to your project.

Select the Deliverables module to add it as a tab.

Step 3. When you select the Deliverables module, it will open another modal window where you can name it and choose its visibility.

You can leave the default name Deliverables for your tab or type a custom one.

Click on the Visibility drop-down menu and select your preferable visibility setting for this tab: Shared to Clients, or Private to Our Team.

By default, this tab is visible to clients, but if you prefer to make it accessible only to your team, choose the second option. You can always change the visibility settings later.

Step 4. Click the Add to Project button.

Now, Deliverables is added to your project and you can see it in the tabs navigation.

Note that, unlike Conversation, Tasks, and Embed URL, you can't have multiple Deliverables tabs.


Deliverables Tab Visibility Icon

The Deliverables tab also displays a visibility icon. The visibility icon show who can see the particular tab.

There are two types of visibility:

  • Shared with Clients: The tab is visible to clients who participate in the project. The visibility icon is displayed as an Eye icon.

  • Private to Our Team: The tab is visible only to you and team members who participate in the project. The visibility icon is displayed as a Padlock icon.

Note that since the whole purpose of the Deliverables tab is to provide your clients with their digital assets immediately after they have settled and to protect yourself from late payments, the best practice is to keep Deliverables shared with the client. You can protect your files with payment instead of having to set the entire tab to private for your team.

If you still wish to set the Deliverables tab to private for any other reason, here's how to do it.


Setting Visibility to Private for Our Team

To make your Deliverables invisible to clients, click the Visibility Icon on the right corner of the Tabs menu.

This will open a modal window with the Tab name and visibility.

Step 2. Go to the visibility section of the modal window and click on the drop-down menu to reveal it. The menu will show you the two visibility options with the current visibility highlighted in blue.

Step 3. Select Private to Our Team to hide the tab from your clients and then click Save Changes.

Step 4. This tab is now set to Private to Our Team, so the visibility icon is now a padlock.

To set the visibility back to Shared with Clients, click on the visibility icon once again, then go to the Visibility section in the modal window and select Shared with Clients from the drop-down menu. Hit Save Changes to apply the new visibility to the tab.


Adding a Deliverable to a Project

When adding a deliverable, note that you can only upload one file as a deliverable. Should your deliverable consist of multiple files, upload them as an archive instead.

When you first go to your Deliverables tab, the screen will show you the following suggestion:

"Protect yourself from getting burned. Deliver files only after clients pay."

To add your very first Deliverable, you can click directly on the New Deliverable button below the suggestion message.

Or you can choose the + New deliverable action from the Tab Actions Bar. Use this action for all your next deliverables.

Step 1. Click the + New deliverable action from the Tab Actions Bar to add a new deliverable.

This will open a modal window with uploading options.

The uploading options include the following:

  • Upload a file: Choose this option to upload an archive directly from your computer. You can also drag and drop your files from your computer to the Upload a File module.

  • Enter a URL: Choose this option if you wish to give an external download link to your files instead.

  • Choose from Dropbox: If you have Dropbox integrated with your Kitchen workspace, you can use this option to connect to your Dropbox storage and select the archive you wish to add as a deliverable.

  • Choose from Google Drive: If you have Google Drive integrated with your Kitchen workspace, you can use this option to connect to your Google Drive storage and select the archive you wish to add as a deliverable.

  • Choose from OneDrive: If you have OneDrive integrated with your Kitchen workspace, you can use this option to connect to your OneDrive storage and select the archive you wish to add as a deliverable.

It's important to mention that uploading files from storage apps will upload a link to your Deliverable, not the actual file. When a client downloads such a file, Kitchen will redirect them to the external storage page where the file is stored.

Deleting files from external storage will also remove the linked deliverable.

Here's what the process looks like.

Step 1. Choose the Upload a file option to add a deliverable from your computer.

Step 2. Select your file/archive and click Open.

That's it. You can now see your deliverable in the modal window.

Now it's time to choose whether you wish your files to be immediately available for clients or protected with payment.


Available and Protected Deliverables

You can choose to make your deliverables immediately available to clients for download or protect them with payment.

  • Available Deliverables: When the deliverable is not protected, your clients will be able to download it before the bill for the project is settled.

  • Protected Deliverables: When the deliverable is protected your client will need to first pay all outstanding invoices and charges for the project before they can access the deliverable.

Note that you can upload multiple deliverables for each project, and choose individually whether they should be protected by payment or not.

You can choose the availability status for your deliverable from the Settings menu in the Deliverable modal window.


Make Your Deliverable Available

If you wish your clients to be able to immediately download your deliverable without a paywall, you can do that by setting the availability status of your deliverable to Available.

To do so, go to the Settings menu in the Deliverable modal window and choose the Available option.

Click "Save".

That's it. Your deliverable is now available to the clients participating in the particular project.

You can visually distinguish available files by the label and the unlocked padlock icon.


Protect Your Deliverable with Payment

You can protect yourself from late payments by formally asking your clients for payment before they can download project deliverables.

Now, if you wish to protect your deliverables with payment, you first need to have an Invoice prepared for that particular deliverable. Once you associate the deliverable with an Invoice, clients will be able to pay the invoice and unlock the deliverable.

If you don't have any Invoices in your project yet, selecting the Protected with Payment option will give you the following message:

"In order to protect a deliverable, create and finalize an invoice and come back to associate the deliverable with it. Your clients will get access to the deliverables only after the invoice has been paid."

Similarly, if you have invoices associated with other deliverables, you will still need to create and finalize an invoice to associate with this particular deliverable.

If you come across this message, you have two options:

Option 1: Set your Deliverable to Available ⚠️

If you choose this option, your clients will be able to fetch the deliverable immediately. We do not advise you to do this when your Deliverables tab's visibility is set to Shared with clients. By the time you create an invoice and return to associate your deliverable with it, your clients will receive a notification and will be able to download the file, which defeats the purpose of protecting your deliverables with payment. This option is only safe if your Deliverables tab has its visibility set to Private to our team.

Option 2: Discard the Deliverable ✔️

Your safest option is to discard the deliverable by hitting the Cancel button. Once you create your invoice, add the deliverable again to associate it with the invoice.

So here's how to do that.

Step 1. Add the Invoices tab.

If you haven't added the Invoices tab, click the Plus icon from the tab Menu. This icon is always right after your last project tab.

Choose the Invoices modal from the list of tab modules to add it to your project.

Note that even if you don't have the Invoices tab in this particular project, you can still have invoices associated with that project. The invoices settings allow you to assign an invoice to any project.

In addition, deleting the Invoice tab in a project won't delete the invoices listed there. After removing the Invoice tab, you can still find the invoices in the Invoices menu from your main Kitchen navigation.

Step 2. Click + New Invoice to create the Invoice you wish to associate your deliverable with.

Step 3. Carefully create your invoice by filling in the inputs. Select the client, associate the invoice with the particular project your deliverable responds to and add the services associated with your deliverables with their respective prices.

Step 4. Once your Invoice is ready, finalize it. To do so, click the Finalize button on the top right corner of your invoice screen.

Step 5. Go back to the Deliverables tab.

Step 6. Select the + New deliverable action from the Tab Actions menu.

Step 7. Upload your deliverable directly from your computer, via URL, or by linking the file from Dropbox, Google Drive, or One Drive.

Step 8. From the delivery availability settings section, choose Protected with Payment.

This will reveal a drop-down where you can choose the invoice you wish to associate your deliverable with.

Step 9. Select the appropriate invoice from the drop-down menu.

Step 10. Hit Save.

That's it. Your deliverable is now locked and protected with payment.

You can visually distinguish available files by the label and the locked padlock icon.

It's important to note that when your clients settle the bill for a particular project, they will automatically get a link to download the deliverables. Because of that, deliverables will be provided to your clients even if they never login into your client area.


Deliverable Actions

To access the actions related to your deliverable, hover over the deliverable you wish to modify and go to the More Menu on the right.

The More Menu opens a drop-down with the following actions:

  • Edit: Modify your deliverable.

  • Download: Download the deliverable.

  • Delete: Remove your deliverable.


Editing a Deliverable

Choose the Edit option from the drop-down menu to modify your deliverable.

This will open the Edit Deliverable modal window that gives you the same editable options as the Add Deliverable modal.

You can change the deliverable file as well as the availability status.

To replace the current file with a new one, simply upload your new file.

Once you're ready with your changes, click Save.


Removing a Deliverable

To completely remove a deliverable, choose the Delete option from the drop-down menu.

This will open a confirmation modal asking you if you're sure you want to delete the selected deliverable. Click the Delete button to confirm.


You've Reached The End of This Guide

Add the Deliverables tab to start adding final deliverable assets for your clients and secure them behind a paywall. Clients can’t access or download files without paying in full. As soon as your client pays, Kitchen immediately shares your files. No extra work or worrying is involved.

By the end of this guide, you will be able to start adding your deliverables and associate them with an invoice.
