A guide to everything you need to know about uploading, managing and organizing files and folders in Kitchen

Every project needs an effective file management tool. In your Kitchen workspace, add the Files tab to access that tool and start managing all your project-related files.

The Files tab is a tool that helps you create folders and upload files from your computer as well as storage apps. It also stores all the files attached to conversation messages.

By organizing all your project-related files in neat folders and sub-folders all in one place, you will make them easily accessible and manageable for you, your team, and your clients.

So let's get into the guide and learn everything there is to know about managing files and folders in the Files tab.

Attaching Files to Your Project Conversation

When you create a new project, even without adding the Files tab, you can still attach files to your conversation messages.

To do so, go to the message tool in your Conversation tab.

Step 1. In the menu below the text field, click on the Attachment icon.

Step 2. The Attachment icon will open a menu of uploading options. You can upload files from your computer, or directly from storage apps if you've integrated any into your Kitchen workspace.

The external storage options include Dropbox, Google Drive, and One Drive.

Step 3. Select a file or multiple files and click Open to add them to your message as attachments.

Step 4. Send your message.

That's it! Your files are now attached to your message.

Now, if you hadn't added the Files tab to your project, the attached files will only be stored in your conversation. In order to find particular attachments, you will need to browse through your conversation to find the message they were attached to.

This is why we advise you to add the Files tab as soon as project participants start attaching files to their messages.

You can add the Files tab in advance when you create the project or add it later in the process. No matter when you do so, all your file attachments from the main Conversation will be stored in the Files tab as well, which allows you to access them quickly.


Attaching Files to Your Tasks

The Tasks tab gives you the ability to create project-related tasks and assign them to your teammates. In addition, each task allows you to attach files in a couple of ways: with the "Attach Files" action, or with the familiar message tool where everyone who has access can write messages and attach files.


Attach Files Action

To attach files to your task without the need to write a message, simply open the task and go to the Attach Files action below the Description section.

Step 1. Click the Attach Files button.

Step 2. This will open a menu of uploading options. You can upload files from your computer, or directly from Dropbox, Google Drive, and One Drive. if you've integrated them into your Kitchen workspace.

Step 3. Select a file or multiple files and click Open to add them to your task.

That's it. Now your files are attached to your task.


Attach Files in a Task Message

The process of attaching files to messages in tasks is identical to attaching files in messages in the Conversation tab.

To do so, go to the message tool in the particular Task.

Step 1. In the menu below the text field, click on the Attachment icon.

Step 2. The Attachment icon will open a menu of uploading options. You can upload files from your computer, or directly from storage apps if you've integrated any into your Kitchen workspace.

The external storage options include Dropbox, Google Drive, and One Drive.

Step 3. Select a file or multiple files and click Open to add them to your message as attachments.

Step 4. Send your message.

That's it! Your files are now attached to your message in the task.

Now, if you hadn't added the Files tab to your project, the files you've attached to a task will only be accessible in that particular task. In case you're looking for a specific file and can't remember which task it originates from, you will need to manually check each task.

This is why we advise you to add the Files tab as soon as your teammates start attaching project files to their tasks.

You can add the Files tab in advance when you create the project or add it later in the process. No matter when you do so, all files attached in Tasks will be stored in the Files tab as well, which allows you to access them quickly.


The Basics of the Files Tab

Adding the Files tab to your project is necessary when your project requires sharing, managing, and organizing files.

The tab has a couple of properties.

Project Files Storage

When you go to the Project Files tab, you will find the following types of files:

  • Attachments from conversations: All files that have been attached to conversation messages in the Conversation tab.

  • Attachments from tasks: All files that have been attached to project-related tasks in the Tasks tab.

  • Uploads: All files uploaded into the Files Tab by you, your team, or your clients.

File Management Tool

In addition to the storage properties, the Files tab also gives you the ability to:

  • Upload multiple files.

  • Create folders and sub-folders.

  • Manage files: Remove files; Rename files; Move files to another folder; Go directly to task or message of origin for task or conversation attachments.

  • Manage folders: Remove folders; Rename folders; Move folders to different directories.

It's important to note that the management options for files and folders apply only to your team. Clients can only upload files, however, they can't create new folders, or move and remove files and folders.


Adding the Files Tab to Your Project

You can add the Files tab at the beginning when you create your new project, or later from the tabs bar menu.


Adding the Files Tab In Advance When You Create a New Project

When you create a new project from the main navigation, it will open a title screen with a few options:

  • typing a project name and a project description

  • adding an associated company

  • choosing your initial project tabs

Once you're done typing a name for the project and associating it with a company, select the Files module from the list.

Click the Create Project button.

That's all.

Once you click the Create Project button it will redirect you to your new project with all the tabs you've added, all neatly arranged in a bar menu right below the project name. Your Files tab will be also there.


Adding the Files Tab After the Project is Created

If you need to use the Files Tab and its features later in the project, you can easily add it to your tabs.

Here's how to do it.

Step 1. Go to your Tabs Navigation below the project title and click on the active Plus icon. This icon is always right after your last project tab.

Step 2. When you click on the icon, it will open the Add Tab modal window with all the available modules. The window will show you a list of tab modules you can add, as well as a list of tab modules you've already added to your project.

Select the Files module to add it as a tab.

Step 3. When you select the Files module, it will open another modal window where you can name it and choose its visibility.

You can leave the default name Files for your tab or type a custom one.

Click on the Visibility drop-down menu and select your preferable visibility setting for this tab: Shared to Clients, or Private to Our Team.

By default, this tab is visible to clients, but if you prefer to make it accessible only to your team, choose the second option.

Step 4. Click the Add to Project button.

Now, Files is added to your project and you can see it in the tabs navigation.


Project Files Storage

Once you add the Files tab, open it and you will see all the attached files from tasks and conversations within the project.

These files are arranged in a list with a format icon, file name, file size, author name, and creation date.

To make it easier for you to distinguish where the files come from, each file has a small icon next to the file's name.

  • Attachments from conversations: All files that come from Conversations have a Speech Bubble icon.

  • Attachments from tasks: All files that come from Tasks have a Kanban icon.

  • Uploads: The files that you upload in this tab directly don't have an icon.

Files that originate from Conversation and Tasks also have an additional action in the More Menu that allows you to open the place of origin.

  • The More Menu for attachments from conversations has a " > Go to Message" option that will open the specific message where the file originates from.

  • Respectively, the More Menu for attachments from tasks has a " > Go to Task" option that will open the specific task.


Uploading Files from Your Computer

You can also upload files directly into the tab without having to attach them in a message.

Here's how to do it.

Step 1. Go to the Tab Actions Bar at the top and click the Upload Files option.

By default, you can upload files directly from your computer. However, if you have previously integrated file management and storage apps such as Dropbox, Google Drive, or OneDrive they will also appear as options in this menu.

Step 2. You can select multiple files that you wish to upload.

Select your files and click Open.

You can also upload files by simply dragging and dropping them into your current folder.

That's it. You can now see your new files in the storage.


Uploading Files from Storage Apps (Dropbox, GoogleDrive, OneDrive)

Whether you wish to attach files from storage apps to a message or a task, or you wish to upload them straight into the Files tab, you can easily do that as well.

It's important to mention that uploading files from storage apps will upload a link to your Files tab, not the actual file. If you decide to download such a file, Kitchen will redirect you to the external storage page where the file is stored.

Deleting files from the storage will also remove the link from the Files tab.

Here's how to link a file or multiple files from your storage apps.

First, you need to have your storage apps integrated into your Kitchen.

To do so, go to your Apps in the main Kitchen navigation and install your preferred File Management & Storage apps.

You can easily add Dropbox, GoogleDrive, and OneDrive.


Uploading Files from Dropbox

It's important to mention that uploading files from storage apps such as Dropbox will upload a link to your Files tab, not the actual file. If you decide to download such a file, Kitchen will redirect you to the Dropbox page where the file is stored.

Deleting files from the storage will also remove the link from the Files tab.

Here's how to upload a file or multiple files directly from your Dropbox storage.

Step 1. Go to the Tab Actions Bar at the top and click the Upload Files option.

Step 2. Select the option "Choose from Dropbox".

This will open a window that connects you to your Dropbox account.

Step 3. Sign into your Dropbox account.

If you check the "Remember me" option, you will connect automatically the next time you upload files from Dropbox.

Once you sign into your Dropbox account, you will be able to access your Dropbox storage.

Step 4. Select the files you wish to upload, and hit the Choose button.

That's it. Your Dropbox files are now linked to your Files tab for project participants to access.

You will be able to easily distinguish files that originate from Dropbox. Next to each of the files' names, you will see a Dropbox icon.


Uploading Files from GoogleDrive

It's important to mention that uploading files from storage apps such as GoogleDrive will upload a link to your Files tab, not the actual file. If you decide to download such a file, Kitchen will redirect you to the GoogleDrive folder where the file is stored.

Deleting files from the storage will also remove the link from the Files tab.

Here's how to upload a file or multiple files directly from your GoogleDrive storage.

Step 1. Go to the Tab Actions Bar at the top and click the Upload Files option.

Step 2. Select the option "Choose from GoogleDrive".

This will open a window that connects you to your GoogleDrive account.

Step 3. Sign into your GoogleDrive account to access your GoogleDrive storage.

Step 4. Select the files you wish to upload, and hit the Select button.

That's it. Your GoogleDrive files are now linked to your Files tab for project participants to access.

You will be able to easily distinguish files that originate from GoogleDrive. Next to each of the files' names, you will see a GoogleDrive icon.


Uploading Files from OneDrive

It's important to mention that uploading files from storage apps such as OneDrive will upload a link to your Files tab, not the actual file. If you decide to download such a file, Kitchen will redirect you to the OneDrive page where the file is stored.

Deleting files from the storage will also remove the link from the Files tab.

Here's how to upload a file or multiple files directly from your Microsoft OneDrive storage.

Step 1. Go to the Tab Actions Bar at the top and click the Upload Files option.

Step 2. Select the option "Choose from OneDrive".

This will open a window that connects you to your OneDrive account.

Step 3. Sign into your Microsoft OneDrive account.

Step 4. Allows Kitchen to access your OneDrive storage. To do so, read the permissions on the dialogue window and click the Yes button.

You can now access your OneDrive storage.

Step 5. Select the files you wish to upload, and hit the Select button.

That's it. Your OneDrive files are now linked to your Files tab for project participants to access.

You will be able to easily distinguish files that originate from OneDrive. Next to each of the files' names, you will see a OneDrive icon.


File Size

Depending on your Kitchen plan, your maximum size per file varies as follows:

  • For Kitchen Free, a single file cannot exceed 10MB

  • For Kitchen Agency, a single file cannot exceed 250MB

  • For Kitchen Ultimate, a single file cannot exceed 1GB

For all three plans, you have unlimited storage, meaning you can upload an unlimited number of files with an unlimited total size of the files. The limitation only affects the size of a single file.


File Previews

Image file previews are available for Agency and Ultimate plans only.

Whether you're in Conversation, Tasks, or Files, you can preview design files without the need to download said files.

Once a participant in the project uploads an image file (or multiple image files) in a message, task, or directly into the Files tab, you'll be able to see an image preview by clicking on its thumbnail.

In Preview Mode, you have quick action buttons:

  • Download: You can download the file in preview mode by clicking the download icon in the top left corner.

  • Browse through files: If there are multiple files uploaded to the same message, task, or Files folder, you can browse through these images by clicking the arrow icons positioned left and right of the image.

It's important to note that the design files preview is not available for the Free plan.


Managing Files

You can manage your files in the Files tab and also apply bulk actions.

For actions related to a single file, use the More menu for each file. These options allow you to download a file, move it to a different folder, copy the link or remove it from the storage.

For bulk actions, however, you need to select your files and apply actions such as download, move or remove, from the Tab Actions Bar.

Now let's see these options in more detail.


Managing a Single File

The More Menu of each file contains all the file management actions you can apply to that file.

Step 1. Find your file in the list and go to the More Menu.

Step 2. Click on the More Menu to open a drop-down menu with all the actions you can apply to your file.

Now let's take a closer look at all the file management options.


Downloading a File

There are two ways to download a file from the Files tab.

When you find the file you wish to download, hover on it to reveal a menu of two active icons:

  • The download icon

  • The More Menu

Click on the Download icon to download your file.

You can also download the file from the More Menu.

Click on the More Menu icon that looks like three dots and select the Download option.

No matter which option you choose, the download will start automatically and you can find the file on your computer in the exact folder where you usually save any downloads from the internet.


Copy File Link

When you copy a file link, you can send it to another participant in the project so they can download it directly. This is especially useful in a Conversation, if you wish to refer to a particular file. Simply place the link in your message and the other participants will be able to download it without searching for it in the Files tab.

To do so, find your file in the Files tab and hover on it to reveal the More Menu.

Click on the More Menu icon that looks like three dots and select the Copy Link option.

Once you select that option, your link will be copied, so now you can paste it into a project conversation, email, Slack, or anywhere you want. Note that only project participants can open the link. Anyone else will be redirected to the Kitchen Login screen.


Moving a File

You can move files to different directories (folders and sub-folders) to organize them as you like.

To do so, find your file in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Move To option.

Step 2. This will open a modal window with all the directories you've created in your Files tab. You can select any folder or sub-folder you wish to move your file to.

Step 3. Click the Move button.

That's it. Your file will now be located in the new folder.

You will need folders first before starting to move files from one folder to another.

If you don't have any folders in the Files tab, clicking the Move To option will still open the modal window with directories, however, it will only show the main folder.


Removing a File

You can also delete files that you no longer need.

Be aware that this is an irreversible process since removed files cannot be restored. This also applies to files from messages and tasks. If you delete a file from a message or a task, this will also remove that file from the message and task of origin.

To remove a file, find it in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Remove option.

Step 3. Click the Remove button.

That's it. You've successfully deleted your file.


Additional Options for Files from Messages and Tasks

The Files tab stores files from messages, tasks and direct uploads. To make it easier for you to distinguish where the files come from, each file has a small icon next to the file's name.

  • Attachments from conversations: All files that come from Conversations have a Speech Bubble icon.

  • Attachments from tasks: All files that come from Tasks have a Kanban icon.

  • Uploads: The files that you upload in this tab directly don't have an icon.

Files that originate from Conversation and Tasks also have an additional action in the More Menu that allows you to open the place of origin.

Go to Message

Files from messages have Speech Bubble icons.

Open the More Menu for such file and you will find an additional " > Go to Message" option.

Click that option to open the specific message where the file originates from. Kitchen will automatically redirect you to the Conversation tab and the particular message.

Go to Task

Files from messages have Kanban icons.

Open the More Menu for such file and you will find an additional " > Go to Task" option.

Click that option to open the specific task where the file originates from. Kitchen will automatically redirect you to the Tasks tab and open the specific task.


Managing Multiple Files (Bulk Actions)

Bulk actions are also available for files, allowing you to download, move or remove multiple files at once.

To do so, select all the files you wish to apply an action to, by hovering on each and checking its box.

Once you have your files selected, you can start applying bulk actions.


Downloading Multiple Files

Here's how to download multiple files.

Step 1. Select the files you wish to download.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

Step 3. Click the Download action.

This will open a window with a message that confirms your files are prepared to download. Unlike with single files, when you download multiple files, Kitchen will send them to your email in a zip archive.

Step 4. Click the Close button on the confirmation window.

Step 5. Check your email. You will have a new email message with a link to download a ZIP file that contains all the files you selected.


Moving Multiple Files

Here's how to move multiple files to a different folder.

Step 1. Select the files you wish to move.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

Step 3. Click the > Move action.

Step 4. This will open a modal window with all the directories you've created in your Files tab. You can select any folder or sub-folder you wish to move your file to.

Step 5. Click the Move button.

That's it. Your files will now be located in the new folder.


Removing Multiple Files

Here's how to remove multiple files.

Step 1. Select the files you wish to remove.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

Step 3. Click the Remove action.

Step 4. This will open a confirmation window asking you if you're sure you wish to remove these files.

Be aware that this is irreversible since removed files cannot be restored.

Click the Confirm button if you wish to delete the files.

Your files are now successfully deleted.


Creating Folders

You can create folders and sub-folders in the Files tab at any time, to organize your files.

To create a folder, go to the Tab Actions Bar.

Step 1. Click on the + New Folder option.

Step 2. Name your new folder.

Step 3. Hit the Save button.

You will be able to see your new folder at the top of the list of files in the folder you're currently in.

This is especially useful when you create a main folder for project assets, and then you need to organize these assets into sub-folders, for example, images, videos, patterns, docs, and whatever you need.

To do so, simply open a folder and start creating sub-folders with the New Folder option.

Here's how to create a sub-folder.

Step 1. To create a sub-folder, just go to the main folder you wish to branch.

Once in the folder, repeat the same process for creating a new folder:

Step 2. Click on the + New Folder option.

Step 3. Name your new folder.

Step 4. Hit the Save button.

You will be able to see your new sub-folder at the top of the list of files in the folder you're currently in.


Managing Folders

It's important to note that the management options for files and folders apply only to your team. Clients can only upload files, however, they can't create new folders, or move and remove files and folders.

You can manage your folders in the Files tab and also apply bulk actions.

For actions related to a single folder, use the More Menu for each folder. These options allow you to rename, download or remove a folder, or to move it to a different folder.

For bulk actions, however, you need to select your folders and apply actions such as download, move or remove, from the Tab Actions Bar.

Now let's see these options in more detail.


Managing a Single Folder

You can see all your folders arranged in a list alongside all files that are in the current folder.

Next to each folder in the list, you'll see its author, date of creation, and a More Menu.

Step 1. Find your folder in the list and go to the More Menu.

Step 2. Click on the More Menu to see the list of available options for managing the folder.

Now let's take a closer look at all the folder management options.


Renaming a Folder

You can rename your folders any time you like.

To rename a folder, find it in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Rename option.

Step 2. In the modal window, click on the text field and type the new name for your folder.

Step 3. Click the Save button.

And now your folder has a new name.


Moving a Folder

You can move folders to different directories (folders and sub-folders) to organize them as you like.

To do so, find your folder in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Move To option.

Step 2. This will open a modal window with all the directories you've created in your Files tab. You can select any new folder or sub-folder where you wish to move your folder.

Step 3. Click the Move button.

That's it. Your folder will now be a sub-folder of the folder you selected.


Downloading a Folder

You can download an entire folder with all the content inside.

To do so, find your folder in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Download option.

This will open a window with a message that confirms your files are prepared to download. Unlike with single files, when you download a folder, Kitchen will send it to your email in a zip archive.

Step 2. Click the Close button on the confirmation window.

Step 3. Check your email. You will have a new email message with a link to download a ZIP file that contains the folder and all the files in it.


Removing a Folder

You can also delete folders that you no longer need.

Be aware that this is an irreversible process since removed folders alongside all the files they contain cannot be restored. This also applies to files from messages and tasks. If you delete a folder containing a file from a message or a task, this will also remove that file from the message and task of origin.

To remove a file, find it in the Files tab and hover on it to reveal the More Menu.

Step 1. Click on the More Menu icon that looks like three dots and select the Remove option.

Step 3. Click the Remove button.

Step 4. This will open a confirmation window asking you if you're sure you wish to remove this folder.

Step 5. Click the Confirm button if you wish to delete the files.

That's it. You've successfully deleted your file.


Managing Multiple Folders (Bulk Actions)

Bulk actions are also available for folders, allowing you to download, move or remove multiple files at once.

To do so, select all the folders you wish to apply an action to, by hovering on each and checking its box.

Once you have your folders selected, you can start applying bulk actions.

Step 1. Select the folders you wish to download.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

This will open a window with a message that confirms your folders are prepared to download. Unlike with single files, when you download multiple files and folders, Kitchen will send them to your email in a zip archive.

Step 4. Click the Close button on the confirmation window.

Step 5. Check your email. You will have a new email message with a link to download a ZIP file that contains all the folders you selected along with the files they contain.


Moving Multiple Folders

Step 1. Select the folders you wish to move.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

Step 3. Click the > Move action.

Step 4. This will open a modal window with all the directories you've created in your Files tab. You can select any new folder.

Step 5. Click the Move button.

That's it. Your folders will now be located in the new folder.


Removing Multiple Folders

Step 1. Select the folders you wish to remove.

Step 2. Go to the Tab Actions Bar and you will notice the default Upload Files and + New Folder options are now replaced with new actions: Download, > Move , and Remove.

Step 3. Click the Remove action.

Step 4. This will open a confirmation window asking you if you're sure you wish to remove these folders.

Be aware that this is irreversible since removed files and folders cannot be restored.

Click the Confirm button if you wish to delete the folders.

Your folders are now successfully deleted along with all the files they contain.
