Managing Lists in Boards

This guide explains how to create and manage lists in boards, including list actions, behavior, and available options.

Lists help you organize tasks within a board and structure your workflow.

Below, you’ll find how to create lists, manage them, and understand how system lists like Open and Done work.


Creating Lists

You can create new lists in multiple ways.

1. Using the + Button

Click the + button located to the right of the existing lists.

You’ll be prompted to enter a title for the new list and click Save to create it.

2. Double-Clicking the Board Background

You can also create lists by double-clicking the empty board background below or between existing lists.

  • If you double-click between two lists, the new list will be created between them.

  • If you double-click below an existing list, the new list will appear either to the left or right of that list, depending on the cursor position when clicking.


List Options and Actions

At the top of each list, you’ll see its title, the number of tasks in it, and additional action buttons.

• Renaming a List

You can rename a list by clicking directly on its title.

After entering the new name, press Enter or click outside the field to save it.

• Collapse / Expand

At the top of the list, you’ll also find the double-sided arrow button used to collapse or expand lists.

This helps improve visual organization, especially when working with multiple lists or prioritizing specific parts of the board.

• More Options Menu

To open the More Options menu, hover over the list and click the three-dot menu at the top of the list.

From there, you can:

  • Edit Title - Rename the list and change the background color of its title

  • Add Multiple Tasks - Opens a text field where you can enter multiple task titles at once - one per line. Then click Add "X" Tasks to create them.

  • Sort Tasks - Sort tasks by:

    • Task Title (ascending or descending)

    • Due Date (earliest or latest first)

    • Date Created (oldest or newest first)

  • Duplicate - Create a copy of the list to the right of the current one

  • Duplicate to Board - Duplicate the list to another board using the board selection window and search bar

  • Move All Tasks to List - Move all tasks from the current list to another existing list in the same board

  • Change List Background Color - Choose one of the available system colors or click the three-dot menu to open the full color picker with additional options

  • Change Tasks Color - Apply a background color to all tasks in the list that don’t already have an individually assigned color

  • Copy Link - Copy a direct link to the list

  • Archive All Tasks - Move all tasks from the list to the board archive, accessible from the board settings (gear icon) → View Archive

  • Remove - Delete the list

• Dragging Lists

To rearrange lists within the board, click and hold the empty area at the header (the top) of the list and drag it to the desired position.


Open and Done List Specifics

Every new board includes four default lists:

  • Open

  • To-Do

  • Doing

  • Done

The To-Do and Doing lists can both be renamed and deleted.

The Open and Done lists, however, are part of how boards work in Kitchen and cannot be deleted, although they can still be renamed.

Important

Even if renamed, the Open and Done lists will keep these original functionalities:

  • Tasks generated by repeating tasks and configured to appear in the Open list will always be added to the original Open list, regardless of the list’s name.

  • Completed tasks will always be moved automatically to the original Done list, as this list is used to store completed tasks.
